Rhino Bid (Rhino Bid, we, us, or our) is operated by Great Smart Systems (Company). This Privacy Policy explains how we collect, use, share, and protect information when you use Rhino Bid on iOS, Android, and the web app (collectively, the Services).

1) Who this applies to
This policy applies to:
- Service Providers who create bids/estimates and send them to customers
- Suppliers who list products/materials and provide quotes
- Customers/Recipients who receive and approve estimates
- Website visitors and anyone interacting with Rhino Bid
2) Information we collect
A) Information you provide
We collect information you submit when using the Services, such as:
- Account & profile info: name, email, phone number, business name, password (stored in hashed form), role (service provider/supplier)
- Estimate/bid details: job scope, labor and line items, estimate notes, estimate descriptions, attachments you upload (if enabled)
- Customer/recipient info (for estimating/approvals): customer name, email, phone number, job address, approval/decline status, and related communications
- Supplier data: product listings, pricing, availability/inventory (if provided), quotes, and messages between suppliers and providers
- Support communications: requests and messages you send to us
B) Payments
If you make purchases or accept payments through Rhino Bid, our payment processors collect and process payment information (such as card details) on their systems. Rhino Bid typically receives confirmation details (e.g., payment status, transaction IDs) but does not store full card numbers on our servers.
C) Information collected automatically
When you use the Services, we may collect:
- Device/app info: device type, OS version, app version, language settings
- Log and security data: IP address, timestamps, basic diagnostic logs necessary to operate and secure the Services
- Push notification token (if you enable notifications) to deliver alerts (e.g., approvals, updates)
Note: You told us you do not use third-party analytics or crash reporting tools at this time.
3) How we use information
We use information to:
- Provide the Services: create bids/estimates, send estimates to customers, enable approvals, and support supplier/provider workflows
- Accurate estimating: connect estimates to supplier-provided product/material data so material line items are more accurate
- AI-assisted writing: help generate or rewrite estimate descriptions to save time
- Improve outcomes using feedback: improve our internal algorithms using feedback signals (for example, whether estimates were approved, revised, or declined) to improve future recommendations and outcomes
- Payments: process transactions, prevent fraud, and handle refunds/disputes (as applicable)
- Support & communication: respond to requests, send service messages, and deliver notifications
- Security & compliance: protect accounts, detect abuse, and comply with legal obligations
4) AI, pricing, and training limitations
- Rhino Bid includes AI-assisted features to help write estimate descriptions.
- Pricing data and bidding algorithms are Rhino Bid's own.
- We do not sell personal data.
- We do not use your personal data or estimate content to train third-party models.
- We only use feedback signals (e.g., outcome/performance indicators) to improve Rhino Bid's algorithmic outcomes.
- Where possible, we use aggregated and/or de-identified information for improvement purposes.
5) How we share information
We share information only as needed to operate Rhino Bid:
A) With other users you interact with
- Customers/Recipients: When you send an estimate, the recipient can view it, approve/decline it, and communicate about it.
- Suppliers & Service Providers: To support quoting and accurate materials, suppliers and providers may see relevant details needed to fulfill requests and build estimates.
B) With service providers (processors) that help us run Rhino Bid
We may share information with vendors that provide services like:
- cloud hosting and storage
- messaging and notifications (email/SMS/push delivery)
- payment processing (if you use payments)
These providers are contractually restricted to use information only to provide services to us.
C) For legal and safety reasons
We may disclose information if required to comply with law or to protect rights, safety, and security, including responding to lawful requests.
D) Business transfers
If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
We do not sell personal information and we do not share personal information for cross-context behavioral advertising.
6) Data retention
We retain information for as long as needed to: provide the Services, meet legal and accounting requirements (especially for payments, if applicable), resolve disputes, prevent fraud, and enforce agreements. You may request deletion (see Section 10). Some information may be retained where required by law or for legitimate security/business purposes.
7) Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8) Your choices
You can:
- access and update certain account details in the app/web (where available)
- control push notifications in device settings
- request access, correction, or deletion (see below)
9) Childrens privacy
Rhino Bid is not intended for children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children.
